How it works

You join the call.
Tobin takes the notes. Locally

Starts by itself

Join a call and Tobin starts recording within seconds. Hang up and it stops.

Whatever you call on

Teams, Zoom, Google Meet, Webex or Slack. If the call plays on your laptop, Tobin hears it.

Your to-dos and minutes

When the call ends, Tobin lists your to-dos in the app, files the minutes and emails you a copy.

Privacy

Exactly what leaves
your laptop.

Tobin does its work on your computer. This is the whole list, exception included.

Never
Your audio Your own processor records and transcribes it. There is no code in Tobin that uploads sound.
Never
Your transcripts They stay in the folder you chose, which is outside OneDrive by default, so they cannot drift into a corporate cloud by accident.
Never
Your to-dos and minutes A language model running on your laptop writes them, so no AI service ever sees the meeting. If you add an email address, your own Outlook sends you the minutes.
During the pilot
Diagnostics, so we can fix problems Pilot builds can send us diagnostic logs, your Tobin settings and meeting details such as titles, times and length. Never audio or transcripts. Switch it off in Settings, under Advanced.
What you get

Your to-dos and minutes,
without the note-taking.

Nobody in the call can see it

No participant joins and nothing appears in the meeting. Tobin records what your laptop already hears.

Both sides, kept apart

Your microphone is one recording and everyone else is the other, so the transcript knows who spoke.

Spanish and English in one call

Tobin follows the language as it changes, on each side of the call.

Questions

Before you join.

Will people on the call see a recorder?

No. Tobin is invisible to everyone else in the call: no participant is added and no notification appears in the meeting. Tobin records the sound your laptop is already playing and the words you are already saying. Because of that, you should know the rules where you are — see the next question.

What exactly leaves my laptop?

Your audio, your transcripts, your to-dos and your minutes stay on your computer. A model that runs on your laptop writes the to-dos and the minutes. During the pilot, Tobin can send us diagnostic logs, your settings and meeting details such as titles and times, so we can fix problems. It never sends audio or transcripts, and you can switch it off in Settings. Tobin also checks for new versions. The privacy page has the full list.

What does my laptop need?

Windows 10 or 11 on a 64-bit PC with a processor that supports AVX2, 8 GB of memory (16 GB recommended) and about 7 GB of free disk. The installer is about 3 GB because the speech and minutes models come inside it, which is also why Tobin works offline. No graphics card is needed. On mains power, transcribing takes roughly as long as the call; on battery, about twice as long. Minutes for a 50-minute call take about 15 minutes.

Which meeting apps does it work with?

Microsoft Teams, Zoom, Google Meet, Webex, Slack, Discord and any other app that uses your microphone and speakers. Tobin starts by itself for the common meeting apps and for calls in Chrome, Edge, Firefox, Brave and Arc. Capture happens at the Windows audio layer, so there is nothing to integrate and nothing to break when a meeting app updates.

How it works

One meeting,
start to finish.

You choose the folder. You hit forward. Everything in between is Tobin.

  1. 1 It records Both sides, on your laptop. Invisible to everyone else.
  2. 2 You hang up Tobin stops on its own and writes your to-dos and the minutes.
  3. 3 You pick a folder And ask for a copy by email, if you want one.
  4. 4 You forward it The cover note is already written.

The film opens on a video call, then follows Scribe through one meeting. Its subtitles, in order:

  1. Scribe records both sides on your laptop.
  2. You hang up. Scribe stops recording by itself.
  3. Scribe asks where to file the minutes. You choose.
  4. You also ask for a copy by email.
  5. You hit Save. Scribe takes over from here.
  6. Scribe files the minutes and emails you a copy.
  7. The email arrives with minutes.docx and a cover note.
  8. You hit Forward. It goes out exactly as written.

It closes on the Scribe mark: automate your meetings with scribe. The film has no sound and plays again from the start.

Tobin listens quietly while you meet. It is invisible to everyone else in the call, and nothing changes about how you run it. When you hang up, Tobin asks where you want the minutes kept, or whether to keep them at all.

Add an email address and it drafts the message too. The topics you covered, with the minutes attached, ready for you to send on to everyone who was in the meeting.

While you work

A quiet microphone in your tray. Then a knock on your inbox.

Tobin lives in the system tray: grey while it waits, red while it records, blue while it writes. The only time it interrupts you is to say your notes are ready.

Watching

Idle and invisible. Tobin only reads a list Windows already keeps, so nothing is opened and no audio is touched.

Recording

Both recordings running. Swap your speakers for a headset mid-call and Tobin switches to it on its own.

Transcribing

Runs quietly in the background. Your next call starts on time even if the last one is still being written up.

The deliverable

Hang up. Your to-dos and minutes are already waiting.

Your to-dos land in the app’s To-dos tab, each with its owner and due date. The minutes reach your inbox: real minutes, structured the way a boardroom expects them. Decisions taken, decisions pending, action items with owners and dates, and a summary of each discussion. Anything unclear is marked "to confirm" because Tobin never invents a name, a date or a figure.

Personal, every time

A cover note written from the meeting itself.

Not a template. The email that carries your minutes says what was actually agreed, in language you can forward to a client thirty seconds after it lands.

  • Named after what was discussed. Tobin titles each meeting from its content, so the folder says "Q3 Kickoff" instead of "Recording 47".
  • Executive structure. Decisions, pending items, an action table with owners and due dates, then the detail for anyone who wants it.
  • Litigation-safe language. Neutral wording, no editorialising, and relative dates like "Thursday" resolved to real ones.
Filing

Every meeting, filed exactly where you want it.

Each call becomes one tidy folder holding the transcript, the audio, the minutes and the details, named by date and meeting. Send a client's calls to that client's folder and your records keep themselves in order.

  • Pick the destination per meeting or set rules once and forget it.
  • Plain files, open formats. Markdown, M4A and DOCX. Your notes are yours, readable in anything, forever.
  • Searchable history. Six months from now, find who said what in any meeting with a plain text search.
The film

See it in forty seconds.

One meeting, from the call starting to the minutes arriving in your inbox.

The opening shot and the narration are AI-generated. Everything after it is the real software, and the meeting is fictional.

Private by construction

What you say stays
on this laptop.

Privacy is not a feature we bolted onto Tobin. It is the reason Tobin exists. Every other way of taking meeting notes asks you to hand your conversations to someone else's computer. This one never asks.

No account. No sign-in. No Tobin server receives your audio, your transcripts or your minutes, so there is no copy of what was said for anyone to breach, subpoena or leak.

The usual AI note-taker
  • A bot joins your call as a visible participant
  • Your audio is uploaded to a company's servers
  • Recordings sit on infrastructure you don't control
  • Some train their models on what was said
  • Your client's words end up with a vendor they never chose
Tobin
  • Invisible to everyone else. No participant is ever added to your call
  • Your audio is never uploaded, to anyone, at any point
  • Recordings live in a folder you picked, on your own disk
  • Nothing you say is ever used to train anything
  • No account and no sign-in

Features

Small details. They add up.

Every one of these exists because a real meeting demanded it.

Who said what, by design

Your microphone is one recording, everyone else is the other. That is how Tobin always knows who spoke, without guessing.

Follows your headset

Plug in headphones halfway through a call and Tobin switches to them on its own. You never pick an audio device.

Survives the mute button

Muting yourself in Teams or Zoom does not stop the recording. Your notes stay complete from the first hello to the last goodbye.

Knows the meeting's name

Tobin titles each meeting from what was discussed, so you can find it later without opening it.

No false alarms

Tobin starts for meeting apps and browser calls. A recording under 45 seconds is kept but not transcribed.

Fluent in your meetings

English, Spanish and more than ninety other languages, recognised on their own. Switch between Spanish and English mid-call and Tobin follows.

About us

Built between meetings,
by people who live in them.

Tobin started as a private tool on one very overbooked laptop. Ignacio was sitting through six client calls a day and spending his evenings reconstructing them from memory. The tools that could have helped all wanted the same thing first: upload the call to us. For confidential client work that was never going to happen, and Toby refused to accept that the price of a decent record was handing the conversation to a stranger's server. So they built a recorder that keeps the recording and the notes on your own machine. It has taken their own minutes every working day since.

A laptop, a headset and a notebook on a tidy desk: the entire Tobin setup.
I Ignacio Elias Co-founder · Product Barcelona, Spain

Strategy consultant at a global advisory firm. Runs Tobin through real client engagements daily, which is why the minutes read like a consultant wrote them: decisions first, owners named, nothing invented.

T Toby Chen Co-founder · Engineering California, USA

Engineer at NVIDIA. Built the capture engine that records at the Windows audio layer without touching your call, and holds every release to the standard of hardware that ships.

Why we started it

Tobinvision S.L.

Tobin is made by Tobinvision, the company the two of us started around one position: technology should serve the person using it. A lot of it has drifted from that. It asks you to learn it, sign up to it, and hand over your work before it gives anything back.

So we build things that take work off your plate and then get out of the way. Tobin hands back the half hour you used to spend writing up a call. It installs in a few minutes, has no account to create, and tells you what it is doing while it does it. If a feature needs a manual, we have not finished it.

We also think good tools should not stay with the people who can afford them. Tobin runs on the laptop you already own, records and transcribes on that machine, and we settled how it would treat your work before we settled what it would do.

Privacy came first, then the product.

Keeping meetings on the laptop was decided before a single feature was. Everything Tobin does has to fit inside that rule, and some ideas have been dropped because they didn't.

We never invent facts.

A name, a date or a figure the meeting didn't clearly support gets marked "to confirm". Your minutes are evidence, and we treat them that way.

Monday is the test.

If a feature can't survive a day of back-to-back calls without being noticed, it doesn't ship.

Questions

Fair questions. Straight answers.

Will people on the call see a recorder?

No. Tobin is invisible to everyone else in the call: no participant is added and no notification appears in the meeting. Tobin records the sound your laptop is already playing and the words you are already saying. Because of that, you should know the rules where you are — see the next question.

Is it legal to record my meetings this way?

You are recording conversations you are a party to, for your own records. That is generally lawful in Spain and most of the EU. Some jurisdictions require every participant's consent, and your employer or clients may have their own policies, so check both before recording sensitive calls. Tobin gives you the switch; using it well is your call.

What do the minutes actually look like?

A Word document with the structure serious organisations use: decisions taken, pending decisions, an action-item table with owners and due dates, and summaries of each discussion. It arrives by email with a short cover note written from the content of that specific meeting, so you can forward it as-is. The action items also land in the app’s To-dos tab, where you tick them off.

Is there a Mac version?

Not yet. Tobin is Windows-first because its capture and detection sit deep in Windows audio APIs, and we would rather do one platform properly. macOS is on the roadmap; join the pilot and tell us if that should move up.

What happens if I talk while muted?

Your side keeps recording, so muted asides end up in your local transcript. They are never sent to the call, and they never leave your machine. Many of our best action items started life as a muted "we should really fix that".

can minute itself.
